UBC Hiring Solutions provides temporary administrative, clerical and financial processing support to UBC administrative and academic departments located on Point Grey Campus, Robson Square, and several hospital sites. As a temporary employee with UBC Hiring Solutions, you will be placed on full-time assignments (35 hours per week) which will vary in length, pay, location and work arrangement (onsite full-time vs. hybrid).
Assignments will also vary in terms of the work performed; however, typical duties and responsibilities will be focused on the following areas:
- Office Administration
- Executive Assistance
- Reception
- Program Assistance
- Student Information Support
- Medical Office Assistance
- Financial Processing
Minimum Qualifications:
- High school graduation, plus two years of related experience OR
- An equivalent combination of education and experience.
- Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.
Preferred Qualifications:
- University undergraduate degree in a related field.
- Three plus years of recent related experience in a professional office environment OR one year of related experience using Workday in a post-secondary setting.
- Excellent written and verbal English communication skills.
- Excellent organizational, planning, and prioritization skills.
- Ability to work independently, but also collaboratively in a diverse team environment, in a courteous and effective manner.
- Ability to take initiative, multi-task and deliver multiple assignments in a fast-paced and changing environment.
- Ability to exercise tact, discretion, and judgment.
- Ability to effectively use Microsoft Office (Outlook, Word, Excel), and videoconferencing applications (Zoom, Teams) at an intermediate level.
- Ability to type a minimum of 40 w.p.m.
Please note these are the minimum and preferred qualifications required to be hired onto the Hiring Solutions active roster.
Additional skills and qualifications may be required and will be dependent on the duties and responsibilities for each specific assignment.
Here is a list of the most common roles and their corresponding responsibilities that Hiring Solutions temp employees are assigned to:
Administrative Support – duties may include:
- Assisting with various administrative activities, HR processes, providing program support to students, coordinating department events, handling confidential inquiries, and managing office supplies and purchases.
Financial Processing Assistant – duties may include:
- Handling financial processing and analysis, including benefits, accounts payable, revenue accounting, grant management, ledger reconciliation, expense monitoring, credit card transactions, and resolving discrepancies in financial records.
Medical Office Assistant – duties may include:
- Handling patient inquiries, booking appointments, providing guidance on treatment programs and insurance benefits, troubleshooting insurance processes, verifying claims, and managing payment allocation while ensuring accurate patient records.
The rate of pay will range from $25.57 to $32.63 per hour, with an average pay rate of $29.90 per hour, and will vary depending on the duties and responsibilities.
